Clean Up a PDF Before Sending

Most PDF leaks are not dramatic hacks — they are internal comments, author names and leftover text that nobody checked before the file went out. This checklist covers what actually gets missed.

Caution: The most common leak is not the visible content — it is metadata, hidden text and previous revisions that look absent but travel with the file.

Step by step

  1. Duplicate the file.
  2. Remove annotations and revision marks.
  3. Clear metadata and hidden objects.
  4. Copy the text out and skim it.
  5. Confirm in a second viewer, then send the cleaned copy.

FAQ

What should I check before sending a PDF?
Comments and markup, revision marks, metadata, hidden or off-page text, and embedded attachments — then verify by copying the text out and opening the file in a second viewer.
Does deleting comments remove them completely?
If they are annotation objects, yes. Remember that metadata can still hold author names and review history separately.
Can recipients recover what I removed?
If you only hid content or left it in metadata, quite possibly. Remove properly rather than hiding.
Do revision marks survive export to PDF?
They can, appearing as strikethroughs or highlighted changes. Check the exported file explicitly — do not assume export flattens them.
Is metadata visible to recipients?
Not on screen, but it is readable in document properties and by most PDF tools.
Should I flatten the PDF before sending?
Flattening helps fix appearance and prevents casual editing of form fields and annotations, but it does not remove metadata — clear that separately.
How long does a proper cleanup take?
A few minutes once you have a routine; the checks are quick compared with the cost of a leak.
Does cleaning change the document content?
Annotation and metadata removal leaves content intact. Only pixel-level watermark or handwriting removal alters appearance.
